Administrative Assistant
Waverley Insurance is a family-owned Insurance Agency that has been servicing the Belmont MA area since 1946. Our focus is making sure every client receives individualized attention for their insurance coverage needs.
We are currently looking for an in-person Administrative Assistant to join our busy and fast-paced agency. For those who are tired of feeling like “just a number” at a big company, the opportunity to make an immediate impact and see the results of your hard work is a key element to the opportunity this role provides. This entry-level position is ideal for a motivated, detailed-oriented individual who is looking for a position with strong growth potential into insurance professional roles. Learn on the job and take your career to the next level! 24-40 hours per week is the desired range, willing to consider those who can work at least 24 hours. This position is office-based in our Belmont, MA office.
The Administrative Assistant is the “first face” of the company when current or potential clients, vendors or business associates call or visit the office. The essence of the role is creating a strong sense of welcome and support for all who reach out to or come into our office. The ideal candidate for Administrative Assistant is always polished, polite, responsive, and respectful in their communications and also possesses a strong attention to detail, a strong sense of organization, and a focus on successfully supporting the team.
Responsibilities Include:
- Handling phones and forwarding calls
- Processing payments (via phone or in person)
- Handling mail and scanning it into the system
- Assisting the Personal Lines and Commercial Lines reps in administrative tasks including filing, emails, searching for info and creating documents
- Assisting the office manager with billing and office tasks
- Entering client info into our Hawksoft client database system
Knowledge, Skills and Abilities Required:
- Excellent phone skills, including a polite and warm phone presence, and experience with answering and forwarding calls on a multi-line office system
- Strong customer service skills for handling questions, issues, and problems and problem-solving and troubleshooting with our staff to provide client support
- Ability to handle multiple projects and responsibilities simultaneously
- Experience in Customer Relationship Management (CRM) databases a strong plus
- Strong experience in Microsoft Office products required
- Comfortable with learning new technologies and new software
- Basic math skills for reviewing bills and payments for accuracy
- Good written and verbal communication skills
- Ability to treat everyone with respect and dignity at all times
- Strong sense of collaboration and supportiveness, interest in working with others for team success
- 2-3 years of office experience in a busy, fast-paced office environment
- High school diploma or GED required, Associates or higher college degree a plus
- Insurance industry office experience a strong plus
